Social Media Policy

SOCIAL MEDIA POLICY

 

Overview

 

1.1       Pregnancy Loss Australia (PLA) endorses it's employees and board to  participate in the use of social media platforms such as, but not limited to, Facebook®, Twitter® and video sharing sites to publish, share and communicate PLA activities to its ambassadors and the general public.

 

1.2       Social media platforms provide an opportunity to:

 

            1.2.1    access a cost effective and uniform means to engage the PLA audience.

            1.2.2    provides a means for instant 'live' information and updates.

 

1.3       The following standards apply to all board members, employees and volunteers in the use of social media whether in an official or personal capacity where there is a clear and obvious connection to PLA and/or  persons associated with the organisation.

 

            1.3.1    do not act unlawfully (such as breach of copyright, intellectual  roperty, Equal Opportunity Act) when using social media when  officially, or giving the impression of, representing PLA.

 

            1.3.2    employees and representatives of the Board need to be clear that   their personal activities do not adversely affect their performance and fitness to represent PLA.

 

            1.3.3    be clear that your personal views are yours, and not necessarily the views of PLA or its representatives.

 

            1.3.4    do not disclose confidential information regarding the activities of  PLA.

 

            1.3.5    do not knowingly act in breach of the terms and conditions of the social media provider.

 

Scope

 

2.1       Employees and Board members are bound by the terms of this policy whilst employed or representing PLA at all times.

 

2.2       Volunteers are also bound by the terms of this policy, with some limitations.  

 

Context

 

3.1       Social media has broad acceptance in both and the personal and business community and PLA needs to be as accessible as possible to a broad audience and these platforms represent a practical means of mass communication.

 

3.2       This policy should be read and interpreted in conjunction with:

 

            The Privacy Act 1974

 

            The Human Rights and Equal Opportunity Commission Act 1986

 

            The Disability Discrimination Act 1992

 

            The Racial Discrimination Act 1975

 

            The Sex Discrimination Act 1984

 

            The Age Discrimination Act 2004.

 

            Equal Opportunity for Women in the Workplace Act 1999

 

            PLC Policies

 

Responsibilities & Delegations

 

4.1       It is the responsibility of the General Manager to ensure employees and  volunteers have read and understood the Social Media Policy and have  signed an acknowledgement to indicate this.

 

4.2       It is the responsibility of all Board members to read, understand and apply the Social Media Policy. They are also responsible for ensuring the   same from the General Manager.

 

4.3       The above is renewable at eighteen (18) month intervals to ensure currency.

 

Monitoring

 

5.1       It is the responsibility of the General Manager to monitor and evaluate the policy and report at Board meetings as required.  Version control and  amendments are per the Board's nominated delegate.

 

Administration

 

6.1       PLA-endorsed social media content is restricted to those with administrator’s rights, namely General Manager, Administrator/Volunteer Coordinator or any person named on the board.

 

6.2       Administrators have the right to remove any postings that slander,  defame or significantly misrepresent PLA and/or persons associated with         the organisation in either an official or unofficial capacity.

 

6.3       The Board or their nominated representative reserve the right to block         any person/s in breach of the above or breaches relating to content in 3.2.
